BASIC RENTAL OF THE MITCHELL PARK DOMES

Rentals are based on six hours – Only from 6:00pm – 12:00am There is a set up charge based upon your final guest count.

Please make arrangements to meet with us no later than three weeks prior to your event to work out a floor plan. The basic rental fee includes a one time setup, breakdown and cleanup. Call for Current Rental Fees (414) 649-9800.

You are responsible for all property damage or excessive cleanup charges.

FOOD & BAR SERVICE

Milwaukee County has an exclusive contract with Zilli Hospitality Group. ZHG provides all catering and bar service at The Domes and for information please call (414-277-1056). All bar and food service must be provided by the contracted vendor.
ZILLI HOSPITALITY GROUP PROCEDURES AND GUIDELINES
  • At the time of reserving a party, twenty five percent (25%) of the total estimated cost is required.
  • Six months before the event, 50% is due.
  • three months before event, 75% is due.
  • the final payment is due 10 days before the event.
  • Deposits are non-refundable and non–transferable.
  • Deposits will be credited to event charges.
  • The balance is due in full in the form of a money order, cashier check or company check.
  • DEPOSITS ARE NON-REFUNDABLE AND NON-TRANSFERABLEUNLESS AUTHORIZED BY ZILLI HOSPITALITY GROUP. It is for a specific date, specific event and a specific size.
  • If cancelled one year in advance, no additional amount is due.
  • If cancelled six months in advance 50% of estimated total is due and if under three months 100% of estimated total is due.
  • Catering outline is due 60 days prior to event. Contract will be typed and typically submitted 30 days before the event. Final count is due 14 days before the event.
  • If more than 60 days out, price is guaranteed not to increase more than 5% to 7%.
  • In order to meet economic food and rental conditions, the price is guaranteed for 60 days before the event.

RENTAL FEES

In 2008, the rental rate for events beginning at 6:00pm Fridays through Saturday is $900.00. The Sunday through Thursday rate is $600.00. The Sunday – Thursday two (2) hour rental is $300.00. If you are having your ceremony at the Domes you are required to pay an additional set up fee of $400.00. All rentals are for six (6) hours. This fee includes use of the facility and set-up. The facility can accommodate up to 250 seated guests. Exclusive food and beverage service is provided at the Domes by Zilli Hospitality Group, (414-277-1056). Eight foot and round tables and chairs are included in the rental rate. The basic rental fee is required to hold the facility for any event. The set up fee (see per set up chart) is due fourteen (14) days before your event. Checks should be made payable to Milwaukee County Treasurer and mailed to Coast Restaurant, Attention Tara Boldt, 931 East Wisconsin Avenue, Milwaukee, Wisconsin 53202. Please Note:
  1. Tara Boldt must be contacted (414) 277-1056 no later than four (4) weeks prior to rental date to clarify all set-up requests.
  2. The responsible person will be billed for damaged park property and excessive clean-up costs.
  3. See attached reference sheet for our refund policy on cancellations.
  4. By signing this application you have complete knowledge and agree to the following waivers:
    1. You will agree and observe the Domes rental etiquette guidelines. (See attached sheet).
    2. You will be assessed a set up fee based on your guest count. (See attached sheet).
    3. There is a fifty (50) person minimum on all events.

RULES & REGULATIONS – CHARGES – DEPOSITS CANCELLATIONS & DELAYS FOR THE DOMES CONSERVATORY

  1. The group is responsible for the conduct of all persons in attendance and for any damages incurred upon the Domes or its guests by individuals associated with or representing the group.
  2. No items are to be placed on the walls or hung from the ceiling of the Domes. Helium balloons are only allowed in the lobby and are not allowed in the Domes, however regular air balloons are acceptable. All displays in the Show Dome cannot be changed or removed. This includes all props, decorations and structures. If the rental party finds a prop or decorations offensive, the renter may use a screen or curtain to cover that area. The flowers inside the Show Dome are changed according to what is currently in bloom. Therefore, we cannot guarantee what flowers or colors will be in the Dome the night of your event. The use of glitter, confetti, sequins, sequins-confetti or tinsel is prohibited. Only enclosed candles are allowed. No extension cords or ladders will be provided. Any decoration, set-up or display must be fully removed after your event. It is the responsibility of the rental party to provide security or coat-check personnel, if it is desired. We will not be responsible for any items left at the end of your event. You are responsible for all property damage and excessive cleanup charges.
  3. The Domes and the Zilli Hospitality Group will not assume any responsibility for the damage or loss of any merchandise, articles or personal affects left on the premises prior to, during or following the function.
  4. All equipment or materials shipped to the Domes prior to the functions are not the responsibility of the Domes regarding loss or theft. The Domes will not be responsible for quantity, quality or value of any deliveries. Items shipped must include a label with the name and date of the event, and should not arrive more than one (1) hour before the event. The Domes will not accept responsibility for special cakes or decorations brought into the premises. All cakes brought into the Domes must be baked by a commercial baker. All cakes must be delivered during the catering set-up time directly before the event at 5:00pm, and the name of the room, party planner, or event guest must appear on the box. Guest arrival is at 6:00pm.
  5. The Domes reserves the right to inspect and control all private parties, meetings, receptions, etc. being held on the premises. The Domes has the right to confiscate all food and liquor not purchased through Zilli Hospitality Group.
  6. Meeting and banquet rooms will not be opened for any person or reason unless the stated On-Site Contact person is present.
  7. All functions must be concluded by 12:00am.
  8. Zilli Hospitality Group holds an exclusive food and beverage/bar service contract at the Domes. Please contact Tara Boldt at (414-277-1056, Ext. 315) for menu and pricing information.
    • Food and beverage minimums are as follows for non-peak times (January through April and November and December) the cost is $1500.00. For peak times (May through October) the minimum is $3500.00. (Please note that these minimums do not include sales tax).
    • Kosher food is not available – contact the site manager for detail
  9. You may use the Band and/or DJ of your choice. There are, at most, three 20 amp circuits available for use. Do not overload these circuits. Although sufficient for most setups, it is the responsibility of the rental party to notify the Band and/or DJ service of this limitation. The Domes does come equipped with a portable microphone system. This system is well suited for ceremonies, announcements, etc. It is not suitable to be used in place of a Band and/or DJ service. Entertainment must be set up prior to dinner. Fogging and bubble machines are prohibited.
  10. There are lights in all three Domes. Please keep in mind that these lights are not as bright as sunlight, so the lighting in the Domes will be different at night from during the day. We encourage the rental party and their photographer to schedule an appointment with a rental coordinator to view the potential lighting at night. The lights in the lobby can be dimmed. If the rental party would like to take photographs in the facility before 6:00pm they may begin at 5:00pm, but it must be noted that the Domes staff needs access to the entire facility for cleaning and set up purposes. (One of the Special Event Coordinators must be notified of intended use prior to the event).
  11. You must contact Tara Boldt a minimum of four weeks before your event date to do a floor plan and clarify all setup requests. Please call (414-277-1056, Ext. 318) to set up an appointment or to request a pre-designed floor plan. The night of your event, the setup will be done as close to the layout as possible. It is the renter’s responsibility to ensure the layout is what they want prior to the event. Communicating the layout decisions to the caterers and all others involved is the responsibility of the renter.
  12. A one hour rehearsal during normal business hours is included in the ceremony fee. This is done the day before the event from 4:00pm – 5:00pm. Please note that the Domes are still open to the public at this time. If this conflicts with your schedule, another time may be reserved, if available. A list of guests that will be attending the rehearsal is required at least one day prior to the rehearsal. The number of guests attending the rehearsal is limited to 35. If the rental party requires the assistance of a member of the Domes staff, an appointment must be made for him/her to be there. Without an appointment, we cannot guarantee that someone will be available to assist you.
PAYMENT, REFUND POLICY, AND CANCELLATIONS
  • There is a 50 person minimum on all private events at the Domes
  • The initial basic payment is due in full in order to book the facility
  • The initial basic payment can be refunded in full if a cancellation is made in writing and is received by the Domes office staff at least 30 days prior to the event
  • If notice is given less than thirty (30) days prior to the event 75% of the initial basic payment may be refunded
  • The refund will be mailed to the address listed on the contract within six (6) to eight (8) weeks.
  • Returned (NSF) checks will be subject to a $30.00 processing fee and may result in the cancellation of the contract.
